Starting PowerGrade:
Find the shortcut needed to start the PowerGrade program. There seems to be several different configurations on the classroom computers. The shortcut should be named either "Power Grade", "Power Grade 4", or "pg4". Try these paths:

[Start] ==> [Programs] ==> [Teacher Resources] ==> [Power Grade].
[Start] ==> [Programs] ==> [Teacher Resources] ==> [Power Grade 4].
[Start] ==> [Programs] ==> [Teacher Resources] ==> [pg4].
[Start] ==> [Teacher Resources] ==> [Power Grade].
[Start] ==> [Teacher Resources] ==> [pg4].
[Start] ==> [Programs] ==> [Power Grade] ==> [pg4].

Don’t get confused and go to PowerSchool. These are two different applications.

Note: It is important that you have powergrade version 4.5.0.16 or later  installed on your computer.

Note: Some screen shots in the booklet were made with Windows-95, Windows 2000, and Windows-XP. You will notice slight variations on your computer.



Creating a PowerGrade Data file on your H:\ Drive

Click on the shortcut on the start menu to startup PowerGrade and then immediately hold down the <Alt> key on the keyboard until you see a window titled: "Open". Do not dilly dally pressing the <Alt> key and do not let the key up until the window appears.

At the bottom of the "Open" window, click on the [New] button.


Did you click the "NEW" button ? It is critical that you click the "New" button before you go on or your files will be stored on the "C:\" drive.

The window that opens is most likely looking at the "powergrade" folder on your C: drive.

Do not store your data on the C: drive as it is not secure and anyone using your computer could (and will) delete all your grades.

Find the arrow on the right end of the "Save in:" drop down box.

Click on it and find your "H:\ drive". It is the one that begins with your User Name.

The "Save in" drop down box should now display your H: Drive:

Now find your "powergrade" folder and "double click" on it. The folder name must be "powergrade" with no spaces. If your folder name includes a space, rename it so that it has no space. You can Right click on the folder to rename it. If there is no "powergrade" folder, click here.

The "powergrade" folder should now appear in the "Save in:" drop down box. You should now see a list of your powergrade data files from previous years. If you are a returning teacher and you do not see the file "pg0304.4dd", you are probably in the wrong folder. Go back here and try again.

(Note: The display of file extensions [.4dd in this case] may be turned off on your computer.)

Click here if your "powergrade" folder name is in the "Save in:" drop down box.



If you do not have a "powergrade" folder you need to create one. Click on the New folder Icon





This will create a new folder named "New Folder" that looks like this:

Type in a new name for the folder, such as "powergrade" and then hit the <Enter> key on the keyboard. The folder is all lowercase and has no spaces.

Now "Double Click" on your newly created "powergrade" folder so that it appears in the "Save in:" drop down box.

Note the name in the File Name box.

Change it to "pg0405.4dd" to represent powergrade for school year 0405.

Now click on the [Save] button.

In the "PowerGrade Setup" dialog box, type in "powerschool:5071" for the server IP address and then click on the [Continue] button.

Note: "powerschool" is all in lower case and without spaces, followed by a colon and the port number 5071.

Periodically you will see message like this one indicating the system is busy.

In the "Select a school" dialog box, select [Scarborough High School] and then click the "OK" button. Or Double Click on [Scarborough High School].

Now pick the 2004-2005 school year in the list and click the [OK] button. Or “Double Click” on the school year.

Now pick your name out of this list of teachers and click the [Continue] button. Or "Double Click" on your name.

Now enter the PowerSchool server password and click on the [Continue] button. The server password is "1658S" with a capitol "S". This is the year Scarborough was incorporated. You only need this password once a year when you setup a data file.

You will now see a message saying that your classes are ready. Click the [OK] button.



Opening Classes

Click [Classes] on the menu bar and then click on the class you wish to process in the drop down menu.

If you see a warning indicating that your computer’s date does not match the Power School Server’s date, you will need to fix it.

If you do not get this message, go here.

Double click on the time in the lower right hand corner of the screen.

Click on the correct date on the "Date/Time Properties" dialog box. Then click the [OK] button of the "Date/Time Properties" dialog box".

Then click on the [OK] button on the power grade warning box.




While its loading, you will see messages similar to this flashing on the screen.

Preview your class roster and then click the [OK] button. This list is usually not alphabetical, but your spreadsheet will be.

If you get a message telling you there is a newer version of PowerGrade available, do NOT upgrade. Click the [NO]. button.





You will now see the spreadsheet view of the class you selected.

You should have final grade columns for Q1 (Quarter 1), Q2 (Quarter 2), R1 (First Semester Exam), and S1 (Semester 1 Average). You will also see four Citizenship Columns labeled "Cit" We will remove the Citizenship columns in the preference section.




Setting Preferences:

Click on the [preferences] button 

On the [General] Tab enter your name in the "Teacher Name" text box.. If you don’t, your name will NOT appear on any PowerGrade reports. Correctly format your name with caps as it will appear on reports that parent will see.

If you wish to password protect your file, you can do it here. Since your data is on your H:\ Drive and you don’t let anyone else use your network account, you really don’t need a separate password for powergrade.

In the “Auto-Update” section remove the check mark.

In the "Final Grade Options" section check off "rounded" with "zero" places.

I have also unchecked the "Auto-abbreviate" check box because I prefer to create my own abbreviations.


On the [Display] tab, put a check in  check box.

There are other options here that allow you to change the appearance of the spreadsheet view. You do not need to make other changes here right now.





On the [Scores] tab add the code "EX" (Exempt) and "UC" (Upcoming) in the "Count as Exempt" column. The "EX" can be used to exempt a student from a particular assignment. The "UC" code will allow you to enter assignments ahead of time and have them appear on progress reports as required by some IEP’s. Exempt scores are not calculated into the average. Use all caps on this page.
 
 





Go to the [PowerSchool] tab and make sure the "Path of Current Data file" says: "H:\powergrade\pg0405.4dd". If it does not, contact Dean about fixing this immediately.





Now Click the [OK] button.




Taking Attendance:

Open the class you want to take attendance for. Click on the "Open Attendance Window" icon  on the top of the class spreadsheet.

The attendance window now appears.





If no one is absent or tardy:

Click on the  button at the bottom of the window to send your attendance to the office. If you do not do this, the office will think you did not take attendance.





If you have Absent or Tardy Students:

There are 4 attendance codes you can use.

(Blank) = Present
U - Absent Unexcused (Only the office can enter an "A" for Absent Excused)
T - Tardy Excused
L - Tardy Unexcused
Click on the cell at the intersection of the student’s name and the correct date.  That cell will turn black.


At the bottom of the screen click the attendance code drop-down list arrow and then click the code you want to use.

Or Right-click on the black cell then click on the code you want in the pop-up menu


Click on the  button at the bottom of the window to send your attendance to the office. If you do not do this, the office will think you did not take attendance.

Powergrade only keeps track of the initial attendance. That is, if you mark a student with a "U", it will stay as a "U" even if the office changes it to an excused absence "A". If you want to see a student’s official attendance, use the Attendance function in the PowerSchool application.

If you want to use powergrade to keep your official attendance, you must manually change the attendance codes when the student present you with the "Class Admit Slip".

To Get Reports for PowerGrade

Although powergrade is supposed to automatically download school wide reports to your H:\ drive, your may find it necessary to manually copy reports to your H:\ drive. Do this only if the reports do not appear in the list - otherwise Click here.

Open Windows Explorer. Find the files on the G:\ drive by clicking on the [+] in front of each folder and then clicking on the [reports] folder so that it is highlighted as shown below. A list of reports will appear in the right hand side of the Windows Explorer window..

{click the plus}® [+] Schools on ‘Ms1’ (G:)

{click the plus}® [+] Hsstaff

{click the plus}® [+] Powergrade

{Click on the folder} [+] Reports

The files are in the folder: G:\Hsstaff\powergrade\reports





Go to the menu and pick [Edit] ==> [Select All] or type <ctrl/A> on the keyboard to select the files.

Scroll down in the left hand panel and find the folder: (but do not click on any folder)

The destination folder is: H:\Powergrade\Reports

Use the same method. Click on the [+] in front of each folder, but DO NOT click on any folder or you’ll loose the list on the right.

{click the plus}® [+] H:\

{click the plus}® [+] PowerGrade

{don’t click anything} [+]Reports

Position the mouse in the blue area where the reports are selected.

Using a right drag, move the files until the "Report" folder turns blue.

(Hold down the right mouse button and move the mouse).

Let up the left mouse button and using a left click, select "Copy Here".
 




Printing Reports Including Class Rosters

Open the Class you want to print.

Find reports on the Powergrade menu bar.

Click on [Print ..].

A dialog box with a list of reports will appear. This will list both custom reports that you have designed and school wide reports. If you do not have school wide reports listed, Click Here. Highlight the report you want to print, in this case "SHS-Class Roster" and then click the [OK] button.





On the "Print Setup" dialog box, select the correct printer in the drop down box and then click the [ok] button.

On the "Print" dialog box you can select the page range and number of copies - then click the [OK] button.





You should get a report that appears similar to this:
